    Student Activities Advisors - Please take note!!

    Because of the large amounts of monies received from and expended for student activities, we expect efficient, thorough and safe management of these funds. You are handling public funds and all transactions are required to be accounted for on the financial records maintained by the school Treasurer.

    According to Ohio Law, Student Activitiy Advisors must deposit monies within 24 hours of money being received. No monies should be placed in unsecured locations such as classrooms, desk drawers or taken home. In no instance should cash be sent through the interoffice mail system using envelopes or other unsecured means. All public monies that are missing are to be reported to the Treasurer immediately.

    The duties and responsiblities of the Advisors/Sponsors consist of the following:

    • Preparing annual budgets and purpose clauses of the activity group
    • Supervising the activities of the activity group, including the preparation of "Sales Potential" sheets and other appropriate documentation.

    Prior to any financial transaction by an authorized Student Activity, a "Budget and Purpose Statement" should be submitted and approved for the current school year.

    Please inform the Treasurer's Office in a timely manner when your "Budget and Purpose Statement" needs to be revised due to various circumstances. These circumstances can occur when the group decides to have a sales event, not previously included in the budget or when actual revenues are not meeting or are exceeding expected levels.
